Duties The goal is for the student trainee to become familiar with programs, projects and functions of the assigned organization and to provide administrative and office support.
The Administrative and Office Support Student Trainee is responsible for assisting in administrative and office support work as it relates to management, program and administrative analysis, and process evaluation.
The student trainee performs a mixture of routine and somewhat complex tasks under the general direction of a manager, project/ program manager, team leader, or other more experienced employee.
The work activities typically support the work of other employees and contribute to the activities of the organizational unit.
The student works with teams working on mission-related projects.
Engages in meaningful learning and development activities while applying basic knowledge and limited experience in performing tasks.
Assists manager and other employees in day-to-day operations.
Works with more experienced team members in compiling and consolidating data, computing or verifying the accuracy of budget data and inform more experienced team member, team lead, project/program manager or manager of discrepancies.
Identifies discrepancies and data omissions and regularly refers these problems and work issues to a manager, project/program manager, team leader, or more experienced employee for guidance.
Receives detailed instructions from a manager, project/program manager, team leader, or more experienced employee as to performing specific tasks such as, searching historical files for readily available background information such as recent staff or function changes, organizational charts, mission and function statements, and position descriptions.
Supports higher level employees in the design of organization and workflow charts, using graphic design software.
Assists and supports the day-to-day operation by entering and tracking fiscal data using a variety of automation tools such as Delphi, US Bank, PRISM, Castle, Travel (E2).
Uses one or more established automated systems to enter and retrieve factual information, gather data for use in reports, charts or graphs.
Assists in maintaining filing systems, supplies, equipment, and publications; help to ensure office handbooks, orders, directives are maintained and kept current, as directed.
Other features of the Gateways Internship Program APPOINTMENT- If selected, your appointment may not exceed a total of 120 days after completing educational requirements.
Participation in this program may be terminated at any time.
REPORTING - Interns will be expected to report onsite to gain hands-on experience and may have minimal remote work assigned.
As such, this internship may be a part time, year round opportunity while attending school.

AGREEMENT - All participants must sign a written Gateways Internship Agreement with their manager that clearly identifies expectations of the appointment such as duties, length of appointment, work schedule, training, mentorship etc.
CONVERSION - Although not guaranteed, an intern may be converted from the Internship Program to a permanent appointment without further competition in accordance with established policy.
Conversion must occur within 120 days after successful completion of the educational program (awarding of diploma, certificate, or degree), completion of a minimum of 640 hours of career-related work experience, required training, mentorship, and other requirements in accordance with the intern’s participant agreement.
Additionally, the intern must meet qualification requirements and any other position requirements associated with the position to which converted.
The intern must be converted to an occupation related to his/her academic training and career-related work experience as outlined in their participant agreement.
HOUSING - HOUSING IS THE RESPONSIBILITY OF THE APPLICANT.
